CRM for Small Business: Do You Need One, or Is a Bot Enough
Short answer: if you're getting up to 10-15 leads a week and one or two people handle them, a spreadsheet or a Telegram bot with notes is plenty. A CRM becomes necessary once there are more leads than you can keep in your head, once several people work on them, or once customers return regularly and it matters to see the history for each one. A simple CRM setup costs $300–800, and popular ready-made tools (Pipedrive, KeyCRM, HubSpot) run $15–30/month per user.
When you don't need a CRM yet
- Leads are few and one person handles them. A Google Sheet or even a notebook still works fine — the main thing is that no lead gets lost.
- The process is still changing. If you yourself don't yet fully understand what stages a customer goes through, it's too early to set up a CRM around it — work manually first and figure out the real process.
- Customers are mostly one-time. If there's little repeat business, a complex system for tracking customer history won't pay back the time it takes to maintain it.
When you actually need a CRM
- Leads are getting lost. The most common signal: someone messaged, nobody replied in time, because the message got buried among other chats.
- More than one person works with leads. Without a system it's unclear who's talked to whom and what stage each customer is at.
- There's repeat business or a long sales cycle. When it matters to see a customer's interaction history — what they bought before, what was agreed — a CRM saves far more time than it costs.
- You need automatic reporting. How many leads turned into sales, where most customers drop off — a CRM counts this automatically, a spreadsheet by hand doesn't.
Where to start
You don't need to jump straight to a complex, expensive system. Most small businesses do fine with a simple CRM with basic deal stages (new lead → in progress → paid → done) and an integration with Telegram or your website form, so leads land there automatically instead of being copied over by hand.
